ACCEPTABLE USE POLICY

This Acceptable Use Policy governs your use of Docket (the “Services”), the internal conference room booking application operated by Archer Cargo (“we,” “us,” or “our”). It applies every time you sign in. If you do not agree with it, do not use the Services.

Docket exists for one purpose: so colleagues can see when a room is free and reserve it without stepping on each other. Most of what follows is that sentence spelled out. How we handle the personal information involved is described in our Privacy Policy.

1. WHO MAY USE DOCKET

In Short: Archer Cargo staff, with a company account.

Docket is an internal tool, not a public service. Access requires a company account on an approved Archer Cargo email domain. You may use the Services only for Archer Cargo business and only while you are entitled to a company account. Access ends when your account does.

In Short: Your sign-in is yours alone, and you are answerable for it.

3. BOOKING IN GOOD FAITH

In Short: A booking is a claim on a shared resource. Make it real, and release it when it is not.

4. WHAT YOU WRITE IN A BOOKING

In Short: Titles are shown to colleagues in the relevant cases; write accordingly.

A meeting title, description, and guest list are visible to the organizer, the invited guests, and administrators. Other colleagues see that the room is taken and who took it. That is still an audience. When you write a booking:

5. INVITING GUESTS

In Short: Guest invitations send email. Invite only people who need it.

Adding a guest emails them the meeting title, description, room, and time, and emails them again when you change or cancel the booking. Add only people who are genuinely invited, check the addresses before you save, and do not use guest invitations as a mailing list or to send repeated notifications to someone who has asked you to stop.

In Short: Do not attack the Services or go looking for other people’s data.

If you find a security flaw or a way to see data you should not, report it to us instead of exploring it further. We treat a good-faith report as a favor, not an offense.

7. THE ROOMS THEMSELVES

In Short: Leave the room ready for the next meeting.

A booking reserves the room for the time shown and no longer. Start and end on time, leave the room and its equipment as you found them, and do not occupy a room you have not booked while someone else holds it. If two groups believe they hold the same room, the booking in Docket decides it; raise anything unresolved with an administrator rather than in the doorway.

8. ENFORCEMENT

In Short: We may edit or remove bookings and suspend access, and serious breaches go to your manager.

Administrators may cancel, shorten, or reassign any booking that conflicts with this policy or with an operational need, and may remove content that does not belong in a booking. We may suspend or end your access to the Services, with or without notice, if you breach this policy. Breaches may also be handled under Archer Cargo’s ordinary employment and IT policies, and unlawful conduct may be reported to the authorities. We are not required to act on every breach, and choosing not to act once does not waive anything.

9. AVAILABILITY OF THE SERVICES

Docket is provided for internal convenience on an “as is” basis. We may change, interrupt, or withdraw it, or any room in it, at any time, including for maintenance. Bookings can be affected by outages; for anything critical, confirm the room directly.

10. DO WE MAKE UPDATES TO THIS POLICY?

In Short: Yes, we will update this policy as necessary.

We may update this Acceptable Use Policy from time to time. The updated version will be indicated by a revised “Last updated” date at the top of this policy. If we make material changes, we will let you know. Continuing to use the Services after a change means you accept it.
