This Privacy Notice for Archer Cargo (“we,” “us,” or “our”) describes how and why we access, collect, store, use, and share (“process”) your personal information when you use Docket (the “Services”), our internal conference room booking application at docket.archercargo.net.

Docket is an internal tool. It is available only to people signing in with a company account on an Archer Cargo approved email domain, and it is not offered to the public.

1. WHAT INFORMATION DO WE COLLECT?

Information from your company account

In Short: We receive your name, email address, and profile picture when you sign in.

Docket has a single sign-in method: your company account, through the identity provider Archer Cargo uses for work accounts. When you sign in, that provider passes us:

We never receive or store your password. Sign-in is restricted to approved Archer Cargo email domains; accounts on other domains are rejected.

Information you provide when booking

When you reserve a room you provide a meeting title, an optional description, the room, the date and time, and optionally the email addresses of guests you want notified. We do not ask for and do not want sensitive information in these fields.

Information collected automatically

Our hosting and database providers keep standard technical logs, such as IP address, browser type, and request times, for security and troubleshooting. We do not use analytics, advertising, or profiling tools in Docket.

2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: To run the room booking service, and nothing else.

We do not sell personal information, share it for advertising, or use it for automated decision-making.

3. WHO CAN SEE YOUR BOOKINGS?

In Short: Colleagues see that a room is taken and who took it. Only the organizer, the invited guests, and administrators see what the meeting is about.

Every signed-in user can see the times a room is reserved and the name of the person who reserved it, because that is what a shared calendar is for. The meeting title, the description, and the guest list are shown only to the organizer, to the guests invited to that booking, and to Docket administrators. To everyone else the entry reads only as “Booked by” the organizer.

Administrators are Archer Cargo staff responsible for managing rooms and resolving scheduling conflicts. They can see and remove any booking.

4. WHEN AND WITH WHOM DO WE SHARE YOUR INFORMATION?

In Short: Only with the service providers that run Docket, and with the guests you invite.

We share personal information with the following categories of third parties, who process it on our behalf and are not permitted to use it for their own purposes:

When you add a guest to a booking, that guest receives an email containing the meeting title, description, room, and time, and the name of the organizer. We may also disclose information where required by law or to protect our rights.

5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

In Short: Only the cookies needed to keep you signed in.

Docket sets strictly necessary cookies that hold your authentication session. Your light or dark theme preference is stored in your browser. We do not use advertising, analytics, or cross-site tracking cookies, so there is nothing here to opt out of. Clearing these cookies signs you out.

6. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: For as long as you have an account, and as long as bookings are useful as a record.

Your profile is kept while your Archer Cargo account is active. Bookings are kept as a record of room use. When your account is deleted, your profile and your bookings are deleted with it. Emails already delivered to guests remain in their mailboxes and are outside our control.

7. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: Through access controls, encryption in transit, and limiting Docket to approved company accounts.

Access to Docket requires a company account on an approved Archer Cargo domain. Data is transmitted over encrypted connections and access to the database is restricted by row-level security rules, so a signed-in user can only read what this notice says they can read. No system is perfectly secure, and we cannot promise that unauthorized third parties will never defeat our safeguards.

8. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: You may review, change, or delete your bookings, and ask us about the information we hold.

You can edit or cancel your own bookings at any time inside Docket. To request access to, correction of, or deletion of your personal information, or to withdraw from using the Services, contact us at privacy@archercargo.net. Your name and email address come from your company account; changes made there flow into Docket the next time you sign in.

9. DO WE MAKE UPDATES TO THIS NOTICE?

In Short: Yes, we will update this notice as necessary.

We may update this Privacy Notice from time to time. The updated version will be indicated by a revised “Last updated” date at the top of this notice. If we make material changes, we will let you know.
